The Contracts Operations Specialist at Right Click Consulting (SMC-Pvt) Ltd plays a critical role in ensuring the smooth administration and management of client, subcontractor, vendor, and teaming agreements. This position supports the entire contracting lifecycle by coordinating contract drafting, review, tracking, and execution processes. The specialist acts as an efficient operational partner to company leadership by maintaining organized contract records, ensuring consistency and accuracy, and facilitating communication among internal teams including sales, finance, operations, and recruiting. The ideal candidate excels in managing multiple agreements in a fast-paced, professional services environment with precision and strong attention to detail.
This role requires a strong foundation in contract administration backed by a law degree and at least three years of experience in contract operations, legal support, or related coordination functions. Candidates must be adept at handling contract reviews, drafting standard agreements, monitoring contract milestones, and identifying potential risks for escalation. The Contracts Operations Specialist does not manage a team but plays a vital role in maintaining effective workflows and supporting continuous improvements in contract lifecycle management processes.
Responsibilities
- Conduct initial contract pre-reviews for various documents including contracts, nondisclosure agreements, statements of work, subcontract agreements, vendor agreements, and change orders to identify key business terms, inconsistencies, missing information, and risk factors.
- Draft Statements of Work, change orders, amendments, teaming agreements, and other contractual documents using company-approved templates and prior agreements to ensure standardization and compliance.
- Manage contract routing, execution, and signature collection processes to facilitate timely completion and proper documentation of agreements.
- Coordinate with internal departments such as sales, delivery, finance, recruiting, and operations to gather necessary information and facilitate contract workflows.
- Maintain a centralized and organized contract repository with consistent naming conventions and version control to ensure easy access and audit readiness.
- Track all contract statuses throughout the lifecycle, including drafting, internal and client reviews, procurement review, awaiting signature, fully executed status, and upcoming renewals or expirations.
- Monitor contract milestones, expiration dates, renewals, and outstanding actions to proactively prevent lapses or missed deadlines and provide regular status reports to leadership.
- Maintain and organize approved templates, clause libraries, prior agreements, and all relevant supporting documents to promote consistency and efficiency.
- Support continuous improvement initiatives by assisting in refining contracting workflows, contract intake procedures, approval processes, and documentation practices.
- Assist in maintaining contract-related documentation required for audits, compliance reviews, and operational assessments to meet organizational standards and regulatory requirements.
- Escalate any non-standard contractual language, legal concerns, unusual risk provisions, or operational issues to leadership promptly for review and decision-making.
- Identify missing or inconsistent information and potential operational challenges early in the contract lifecycle to prevent delays and mitigate risks.
- Use software tools such as Microsoft Office, Adobe, DocuSign, and SharePoint effectively for document management, contract tracking, and collaboration.
- Ensure contract compliance monitoring by keeping track of contractual obligations and notifying relevant stakeholders of critical deliverables and deadlines.
- Support the business with contract lifecycle management software and related platforms to streamline contract processing and enhance transparency.
